How can a team record quote verification without overstating certainty?
Use bounded states such as unreviewed, text-checked, and media-checked, add a dated human note, preserve the exact source fingerprint and context, and state clearly that the record is not factual, legal, ethical, or publication approval.
Name the comparison performed
Text-checked means comparison with the imported transcript; media-checked means a person also listened at the locator. Write the decision in plain language and retain the original source separately so the index can be audited against something outside the browser project.
Reset on source drift
Verification tied to an older transcript fingerprint should not survive explicit recapture as if nothing changed. Review the result as a retrieval aid rather than a conclusion. Human-authored fields must remain visibly distinct from exact source-derived text.
Keep downstream approval separate
Editorial, legal, narrator, producer, archive, or publication approval belongs in the real project system, not an ambiguous green badge. Carry the limitation into the frozen edition and passive handoff so a recipient can understand what was checked, what was not checked, and what remains their responsibility.
